Business problems
Chats pile up, customers wait too long
When chats arrive from many channels at once, the ones that have waited longest often slip through. The problem is rarely a lazy team; it's the lack of ordering, assignment, and help with repeat questions.
Common causes
- Chats from several numbers and channels are monitored separately.
- No status and no ordering by wait time.
- Common questions aren't answered automatically.
The impact
- Potential buyers go with a business that replies first.
- The team is worn out from typing the same answers.
- Customers get a weaker first impression.
Common mistakes
What often makes this problem come back
Adding admins without fixing the workflow
More people in a messy inbox means chats get answered twice or not at all. Sort out statuses and chat owners first.
Replying to the newest first
The newest chats are the most visible, but the customers who've waited longest are the most likely to leave. Make "Longest waiting" your default sort.
Leaving finished chats open
The inbox looks full even though some chats are done. Mark them Selesai (Resolved) so the Belum dibalas (Unreplied) tab only holds what still needs work.
Turning on a bot without knowledge
A bot with no material answers too vaguely or keeps handing off to staff. Fill in its knowledge and test it before putting it on a channel.
How to solve it
Fix it step by step in Conex Bisnis
Menu names match the business.conex.chat dashboard (in Indonesian). Steps marked Pro require the Pro plan.
- 1
Connect every channel to one inbox: WhatsApp via Integrasi › Kanal chat (Integrations › Chat channels) with a QR scan, plus Telegram and Live Chat on Pro.
- 2
In Chat, sort by "Paling lama menunggu" (Longest waiting) and use the Belum dibalas (Unreplied) tab and the Selesai (Resolved) status.
- 3
Save frequently used answers as quick replies, then call them up with "/".
- 4
Turn on an AI bot in the Automisasi (Automation) menu for common questions, with handoff to staff when it's unsure.
- 5
Pro Automatically assign new chats to active members in the Tim & Peran (Team & Roles) menu.

- Day 2
Clear the queue
In Chat, open the Belum dibalas (Unreplied) tab, sort by "Paling lama menunggu" (Longest waiting), and mark finished chats as Selesai (Resolved).
- Day 3
Save standard answers
Gather this week's most frequent questions and save the answers as quick replies you can call up with "/".
- Day 4
Prepare the bot's material
In Automisasi (Automation), create a bot and fill its knowledge from Produk & Jasa (Products & Services), your business profile, and Q&A.
- Day 5
Test and refine
Ask real customer questions in the test panel, fix answers that miss the mark, and add keywords that trigger a handoff to staff.
- Day 6
Put the bot on your channels
Add the bot to your WhatsApp and Conex Chat channels, then set the bot's daily AI credit limit to keep usage in check.
- Day 7
Assign chats to your team Pro
